01Who we are
SeekIQ is a platform of FastFlowUp Pty Ltd (ABN 14 677 767 458). This notice explains how SeekIQ handles personal data.
02What this notice covers
It covers people who visit this website, people who use SeekIQ to hire and candidates who apply or interview through SeekIQ. When a company uses SeekIQ to hire, that company decides how candidate data is used and we process it on its behalf.
03Data we collect
From recruiters: name, work email, phone number and how you use the app. From candidates: your application and CV, interview recordings (including any video answers and identity photos) and transcripts, browser integrity signals (such as leaving the tab, copying and pasting or a second screen), plus the scores and notes about them. When a job checks identity, the selfie and identity photos are compared by face to confirm it is the same person throughout; a job set to Strict also needs a short head-turn check. Face images can count as biometric data and are deleted with the recordings.
04How we use it
To run interviews, transcribe and score answers, show evidence to the hiring team, send messages about an application by email or SMS and keep the service secure. Integrity checks compare identity photos and video frames to see that the same person stays throughout, and compare written answers with other candidates' answers to the same question in the same workspace; they only ask a person to look and never reject anyone. We do not sell personal data.
05AI screening and your choices
Candidates are told about AI screening before they apply and again before the interview, and about any automated decisions the job uses. You can ask a person to review any automated decision, or for a human interview instead.
06The browser extension
Hiring teams can use the SeekIQ extension for Chrome. When a recruiter clicks Save on a profile or CV page they are viewing, the extension reads only the visible text of that one page and sends it, with the page link, to that company's SeekIQ; it never opens other pages or reads in the background. In Gmail or Outlook it adds only the CV attachment the recruiter chooses, with the sender's email and a link to the thread. When we know the email of a person saved this way, we tell them what the company keeps and where it came from, and they can ask to see, correct or delete it. They can also ask not to be contacted. If someone asks to be deleted we keep only hashes of their details so the extension cannot add them again. A saved profile is not assessed by an automated process until the person agrees, and no decision is made automatically. The extension never sends anyone a message.
07Where data is stored
Each workspace is hosted in one region, chosen when it is created: Singapore by default, or the United Kingdom, Australia or the United States on request. The database (Neon), the app (Vercel), files (Cloudflare R2) and email (Amazon SES) run in that region; in the UK region files are kept in the European Union. Some processing, such as speech to text and SMS, is done by providers that may work outside the region. The website and app measure visits with cookie-free analytics that store no personal data.
08How long we keep it
Interview recordings, including video answers and identity photos, are deleted 30 days after they are made, or after up to 365 days if the workspace has the recording retention add-on. Transcripts, scores and written answers are deleted 180 days after the role closes by default, and the audit log is kept for 365 days. Workspace owners can change these two periods within set limits.
09Who we share it with
The company you applied to, and the providers that help us run SeekIQ, such as hosting, speech, email delivery and SMS. Text messages are sent through Amazon Web Services (AWS). Our AI and speech providers keep nothing after a request and never train on your data.
10Your rights
You can ask to see your data, correct it or delete it, and you can ask a person to review a decision. Read candidate rights to see how to ask.
11Security
Data is encrypted in transit and at rest. Read more on our security page.
12Changes to this notice
If this notice changes, we will post the new version here.
